Reminders, Expiry & Corrections

Real signature workflows are messy: people forget, deadlines pass, and sometimes you spot a typo after hitting Send. These features keep requests moving and let you correct mistakes cleanly.

Automatic Reminders

Configure in the web portal under Settings → eSign:

  • Automatic reminder every N days (0 = off) — OneSigner emails the signer whose turn it is when the request is still pending, not expired, and the last contact is older than N days.
  • Max reminders per signer — a cap so nobody gets spammed.
  • Every reminder is logged in the audit trail (reminder_sent). Clicking Resend email manually also counts as a reminder.
  • Send due reminders now — a button in Settings to trigger the due-reminder run immediately instead of waiting for the hourly schedule.

Expiry

  • Set a default expiry in days (0 = never) in Settings → eSign; individual requests can override it.
  • After the deadline, signing links stop working and the request shows as expired. Reminders are never sent for expired requests.

Editing a Request (Before the First Signature)

Until the first signer has signed, the owner can Edit the request from Sent for signature: change fields, message and recipients. Signers keep their existing links when their email is unchanged. Once any signature exists, the request is locked — digital signatures cannot be retro-edited.

Clone & Re-send (Fixing After Signatures Exist)

A digital signature cannot be undone — so corrections happen on a fresh copy:

  1. Click Clone & re-send on the request (any status; for pending requests you can cancel the old one in the same step). Completed documents in My Documents offer Re-send too.
  2. OneSigner copies the original PDF into a new document and pre-fills the builder with the same signers, fields and message.
  3. Adjust whatever was wrong (access codes must be re-entered — they are never stored in recoverable form) and send.

Decline

A signer can decline with a reason. The request is marked declined, later signers are not invited, and you are notified by email — typically followed by a clone & re-send with the issue fixed.

Cancel

The owner can cancel a pending request at any time; its links stop working immediately.

The Audit Trail Records Everything

Sent, viewed, access-code attempts, field preparation, signatures (with certificate subject), reminders, declines, edits, cancellations — each with actor, timestamp and IP address. Open Details on any request to review it.
